Why IT managers can’t open CommBox OS accounts on behalf of users
Each CommBox OS account is tied to a personal login for privacy and security, so IT managers cannot create or log in to CommBox OS on behalf of other users.
Applies To
CommBox Classic S4, S4+ and S5
What You Need to Know
CommBox OS is designed as a personalised and secure experience. When a user logs in, their settings, cloud access (Google Drive or OneDrive), and activity are tied to their individual login credentials.
This protects:
-
🔐 User privacy
-
🧠 Personalised preferences and app layout
-
☁️ Secure access to individual cloud storage (e.g. Google Drive, OneDrive)
-
📂 Sensitive or confidential content
What IT Managers Can Do
✅ Enable account logins
-
Ensure CommBox OS is connected to Wi-Fi or ethernet
-
Approve third-party apps like CommBox Exp in Microsoft Entra ID or Google Admin Console
✅ Provide support and guidance
-
Help users log in with their Microsoft or Google credentials
-
Set up default apps, network settings, or group policies at the system level
✅ Ensure secure logouts
-
Remind users that they can remotely log out
Why This Matters
Allowing only the user to access their own account:
-
Reduces the risk of data breaches
-
Complies with most school and workplace privacy policies
-
Keeps users in control of their own content and tools
Troubleshooting / What to Do If It Doesn’t Work
-
If a user is having trouble logging in, confirm their credentials are correct
-
Ensure the screen is online and has access to Google or Microsoft services
-
