How to set up Content-Level Scheduling in CommBox Signage
Learn how to schedule content in your CommBox Signage Portal so images, videos and other items appear at the right time on the right screen.

Step-by-Step Instructions
Step 1: Log in to your signage portal
Open your signage portal in your web browser and sign in with your account details.
Once you are logged in, go to the area where your screens, playlists or content items are managed. This is where you can choose what appears on each screen and when it plays.
💡 Tip: It is a good idea to confirm you are editing the correct screen or screen group before making any changes. This helps avoid updating the wrong display.
Step 2: Choose the screen or group you want to update
Find the screen, screen group or playlist you want to work with.
Select the correct option so you are applying the schedule to the right content and location. For example, you may want one schedule for a front office screen and a different schedule for a classroom or staffroom screen.
This helps you keep your messaging organised and makes sure each screen shows the most relevant content.
Step 3: Open the content or playlist settings
Locate the content item or playlist you want to schedule.
This could include:
- images
- videos
- announcements
- promotional slides
- menus
- notices
- apps or web-based content
Open the settings for that item so you can adjust when it should start and stop appearing on screen.
💡 Tip: Scheduling a playlist is often the easiest option if you want several pieces of content to play during the same time period.
Step 4: Turn on scheduling
Look for the scheduling option in the content or playlist settings.
Enable the schedule so you can set rules for when the content should display. Once this is turned on, the content will only play during the dates and times you choose.
This is useful if you want to:
- show breakfast club information in the morning
- display lunch orders before midday
- run event promotions only during a specific week
- switch to after-hours messaging at the end of the school day
Step 5: Set the start date and time
Choose the date and time you want the content to begin showing.
Make sure this matches when you want viewers to first see the content. For example, if you are advertising a school assembly, you may want the content to start a few days before the event.
Check the time carefully so the content starts at the right moment.
Step 6: Set the end date and time
Choose the date and time you want the content to stop showing.
After this time, the content will no longer appear unless it is part of another active schedule.
This is especially helpful for temporary messages such as:
- event reminders
- limited-time promotions
- daily menus
- exam timetables
- excursion notices
💡 Tip: Setting an end date helps keep your screens current without needing to manually remove old content later.
Step 7: Add repeat days or recurring times if needed
If your signage portal allows it, set the content to repeat on selected days or during regular time slots.
For example, you might choose:
- Monday to Friday only
- school hours only
- every day from 8:00am to 3:30pm
- weekly recurring times for regular notices
This is a simple way to automate content and reduce the need for daily updates.
Step 8: Check for schedule conflicts
Before saving, review the timing of your other scheduled content.
If two items are scheduled for the same screen at the same time, the result may not appear as expected. Checking this before publishing can help prevent confusion and keep your screen layout running smoothly.
It is also worth checking:
- the correct screen has been selected
- the correct timezone is being used
- the content is approved and ready to publish
Step 9: Save your changes
Save the schedule once you are happy with the dates and times.
This stores the timing rules in the signage portal, but the screen may still need to receive the update before the changes appear live.
Step 10: Publish or sync the screen
Publish the changes or sync the screen so it receives the latest schedule.
Your screen needs to be online for the update to come through. Once synced, the content should begin and end according to the schedule you set.
💡 Tip: If the screen is offline, it may continue showing older content until it reconnects.
Troubleshooting / What to Do If It Doesn’t Work
If the content does not appear at the scheduled time:
- check the screen is powered on
- check the screen is connected to the internet
- make sure the content has been published or synced
- confirm the start date and end date are correct
- review the time settings on the screen
If the wrong content is showing:
- make sure you applied the schedule to the correct screen or playlist
- check whether another item is scheduled at the same time
- review any recurring rules that may be overriding your changes
If the content stopped too early or stayed up too long:
- re-open the schedule and check the start and end times
- confirm the correct date was selected
- check whether the portal is using a different timezone than expected
If updates are not reaching the screen:
- refresh the signage portal
- publish the changes again
- restart the screen if needed
- confirm the device is online and syncing properly
