How to display Power BI reports in CommBox Signage

Learn how to integrate Power BI reports with CommBox Signage to share real-time dashboards and insights directly on your digital displays.

💡 Publishing Power BI content to screens running earlier versions than listed above will result in playback failure.

Before You Start

  • You’ll need a CommBox Signage Pro Licence

  • Ensure your device is running a supported app version

  • You’ll need a Power BI user with access to the required reports and permission to authorise the connection

🔐 Only one connection can be made between your CommBox Signage account and your Microsoft Office 365 environment. Only reports accessible to the user who made the connection will be available to others.

💡 We recommend creating a dedicated user (e.g. signage-reports@yourcompany.com) with access to relevant reports to streamline management.


Step-by-Step Instructions

Step 1: Connect CommBox Signage to Power BI

  1. Log in to your CommBox Signage account

  2. Go to Settings > Integrations > Power BI

  3. Click Authorise

  4. Log in with your Microsoft account (the one that has report access)

  5. Optional: Tick “Consent on behalf of your organisation” only if you want all reports in your company account accessible via CommBox Signage


Step 2: Add Your Power BI Report

  1. Go to the Manage page

  2. Select or create a folder for your reports

  3. Click Add > Power BI

  4. Choose your report from the dropdown

  5. Select the specific page to display
    🔁 Add each page individually if you want to show multiple pages from a report


Step 3: Display the Report on Your Screen

  1. Create or edit a playlist

  2. Click Add > Media and select your Power BI report

  3. Apply any tags or schedule rules

  4. Click Save & Publish


Filtering Reports for Specific Screens

  1. Go to Deploy > Devices

  2. Select your screen and click Configure Screen

  3. Under Power BI Filters, click Add

  4. Choose filter criteria relevant to that screen or location

  5. Click Save

💡 Use filters to tailor reports per location or team – ideal for multi-site environments.


Removing the Integration

To disconnect Power BI:

  1. Go to Deploy > Integrations

  2. Click Delete next to Power BI Integration

To remove the app from Microsoft Azure:

  1. Visit portal.azure.com

  2. Navigate to Microsoft Entra ID > Enterprise Applications

  3. Search for "CommBox Signage Power BI Application"

  4. Click Properties > Delete

  • Keep reports lightweight for faster load times

  • Use a dedicated workspace in Power BI for signage

  • Design reports with clear layouts, large fonts, and simple visuals

  • Limit visuals to only essential metrics to avoid clutter


Potential Errors & What They Mean

Error Code What It Means
no-cache First-time sync in progress. Please wait for the screenshot to generate.
no-internet-no-cache Screen is offline and no cached image is available. Reconnect the screen.
unsupported-no-cache Report won’t preview in the portal but should display on-screen.
fatal-error-no-cache Likely an authentication issue. Contact support for help reinstalling the app.
 

FAQs

What happens if my screen goes offline?
A cached screenshot of the report is stored on the device and updated every time new data is fetched. If the screen goes offline, it will show the most recent cached version until back online.

Why is my report slow or not loading completely?
This could be due to Power BI capacity limits. You may need to upgrade your Microsoft Power BI embedded capacity. Learn more here: Power BI Embedded Capacity
